OK, welcome everyone. This is the beginning of our assignments, overview and today we will be doing an overview of housing assignments. So let me start by introducing myself. My name is Teresa Metzger, I am the assistant director for projects and outreach for housing and dining services, and I'm going to throw it over to my colleague Nate to introduce himself.
Good afternoon everyone. Thank you for joining us. My name is Nate fall I'm assistant director for occupancy management help do the assignments in the office and so hopefully after Teresa goes through the PowerPoint will answer a lot of questions through the PowerPoint. We prepared a question and answer that may also cover your questions and then after all of that, what additional questions you may have. We asked this afternoon that you utilized the question box to type in the questions that you may have for us.
In most cases will be able to answer those through our presentation or vocally like this and then if you want to use the chat function to introduce yourself or say hello, that's where you can talk to the other participants joining us today.
So I'll give it back to Teresa.
And again, thank you for joining us.
Yeah, we're so happy to have this one on one connection 'cause we know you have a lot of questions. One thing I do want to know is there are a large number of participants right now over 300 folks, so our hope is that we can get to most of your questions. We likely will not get to all of them, but we are anticipating many of the questions you're asking and then I will also be looking through the questions for specific themes and then will try to go back and answer some questions later. So hold tight and be patient. We're glad we can be here to help you out so.
To get started and just kind of go over the timeline that we have been working on just to kind of let you know the process that we have all been going through for the last several months. And it's it's loading up right here so our application open back in November an folks can access that through them my housing.colostate.edu please. Now that you have if you have not filled out a housing application, you can still do so. It is open all the way through the beginning of the first week of classes.
We're definitely here to still make assignments even as we start the academic year. Students are required to have a $350.00 housing deposit that is In addition to the enrollment deposit. An apps are processed within the order that they receive, and that's the date, and so a lot of questions have been asked. When will my assignments be made and just please know that if it's been.
Recently that you put in your application, that's the reason why it's taking a little bit longer is because we're doing it in the order of their application.
Then this past spring we started opening up the residential learning community, assignments, pieces and so we started making some of those assignments in the spring. Hall assignments also started in the spring and then we also opened up room sink and will probably talk a little bit more about that. But that is our process for matching roommates where students are able to select their roommate through a matching app and we'll talk more about that. And then finally, where we're at right now in July and moving into August.
We are in the process of making final ruhmann roommate assignments. They're basically busy doing that pretty much constantly right now, and our hope is to wrap up that process by the last week of July and it will talk more about that. But I know a lot of you are waiting for that information and we are wrapping it up under the month. The other thing that is critical that we do want to share is that cancellation for the fall. If for some reason you decide not to come to see issue and not live on campus.
That is a bit extended to August 14th and then you would get a full refund of the $350.00 from housing and dining services. It is critical that that is done before August 14th. If you do have some sort of unique situation, we do want to hear from you though, because there are so many things that are happening right now. We would love to talk to you about that situation. Now I'm going to go on to a next slide and I'm going to get this downloaded.
Sure, so I am already seeing a lot of questions coming assignments and we knew that you would have a lot of questions about assignments.
We have a lot of sort of knew pieces that are coming together with housing assignments and I'm going to throw it over to Nate to talk a little bit about some of the new nuances that are happening right now with housing assignment. So I'm going to pass it over to you and kind of review some of these pieces and obviously add more info as needed.
And the slide has some information about assignments, but this year obviously is a little more unique. And yesterday all incoming students received an email asking for their intention about what we're calling extended housing. As you're aware, the University announced that all classes will go online for the last three weeks of the semester, essentially ending the need to be on campus November 20th, with the week of Thanksgiving.
So if you know that you would need to stay in housing beyond November 20th, we're asking that you let us know that now so that we can try to place you.
We can place you in a building that we have a scheduled to remain open and so in that email it stated that we have up to five and we may increase to 8 buildings to stay open for the break period. If you do not need housing beyond fall break, you may end up not in one of those buildings and not be intentional too so that students aren't having to be moved later.
Because of this, that did halt when normal assignments go out and we really needed as much information before we can assign our students. Because we didn't want to have to assign you twice.
Now that we're receiving those responses for students indicating they need that extended housing, we will try to prioritize getting them into buildings that we know will will be open. If you indicate you do not need extended housing and you already have an assignment, in all likelihood, you won't be moved in. That's where you'll remain.
If you just are still waiting for an assignment now, as we receive those responses, or if you say no, you do not need extended housing, we can move forward, assigning you based on your application.
Essentially re halted all assignments mid March and so have you applied after mid March. You most likely do not have an assignment yet unless you were already accepted into one of our residential learning communities.
We have a question about guaranteeing a placement. Yes, if you submitted an application for a residence whole you will be guaranteed a space on campus. Final assignments will go out on Monday, July 27th. At that time, that's when you will. It will be revealed to what building?
What specific room number and who your roommate or roommates will be on that date? If you've applied by July 15th? So yes, Hassan assignments have been delayed, the sooner the better. That you can answer that question that we asked yesterday of do you need extended housing? That would really help us out to gauge on how many buildings we need open as well as not having to have move students twice.
That also will allow for you to plan for your fall room and board statement a little better, because if you indicate you need extended housing that charge for the remaining three weeks of the semester will already be placed on your bill so that when financial aid is dropped onto your account, it'll give you an idea of where you're at in terms of whether there's a credit or still owed at that time.
You will still be able to change your mind if you say you need extended housing and then plans change. You're not locked into. That is just helping us get a better sense of how many students will be on campus for the last three weeks. Additionally, if you say I do not need extended housing and then all of a sudden you decide it would be really nice or you do need to stay, you will be able to sign up for that or later time and then a new bill would just be placed onto your account.

And so, yes, really, we're just trying to gauge if you're planning to be here from November 21st till December 18th. Please know that if you plan to move out by November 21st.
If you're returning to as a student in the spring, you will not need to take all your things with you. You'll be assigned back to the same space for the spring, so really you will only need to take your essential items that you need for that November 21st until you arrive back in January, but it's still going to be your same room and you don't need to completely move out at that time. You'll just turn in your keys indicating that you don't need to stay in that space for that month and a half.
We have a question here. You know just wanting to talk through assignments. We did have a wait list going. I apologize. The weightless also was essentially halted again because we recognize a lot of our students want to live in Corbett and Parmalee Hall in our wait list was quite large for those buildings, but because those buildings are planned to be open for brake housing, we weren't able to move forward on the wait list because we needed to prioritize those open spaces for students planning to stay here during those brake housing periods.
All of our buildings. We are still assigning two capacity meaning if it was a quad, they'll still be four students in that room. If it's a 333 students in those rooms, a double two students in those rooms. So we did receive guidance that that's OK where the vacancies vacancies we do have, we will try to strategically spread those out among our community style halls to reduce the amount of students using the same shared pictures, such as the community, bathrooms and sinks.
But otherwise, if you're assigned a W, should certainly plan to have a roommate, because guidance and all things for it has said that we can assign our buildings to the capacity that they're intended for.
I'm sure more questions will come up about assignments, but I know that covered is kind of the initial.
And thoughts and some of the questions that were already receiving.
Um, and specifically that email that just did go out yesterday, so we did not receive it. Please check your preferred email on file and click that box saying no, I don't need brake housing or yes, I do plan on needing brake housing.
Sure, so the wait list. We have had an ongoing list since assignment started rolling out. If you've received an assignment and you were not satisfied with that assignment or hoping for something else, you were able to email housing at Colostate with. I received this and I was hoping to be assigned to this building. While we were able to work through some of those changes. For the most part, we did have to put a halt on moving forward because of this delay in knowing what buildings were going to be used for brake housing.
So we recognize a lot of our students would like to live in Corbett and Parmalee Hall. If you were not already changed to one of those buildings, you should not plan to at this time.
The caveat to that would be if you've answered that question saying yes, I will need extended housing and you want to see that reflected on your bill right now.
You may still be bumped up or bumped into one of those buildings because those are two buildings that will be opened for extended housing beyond November 20th.
Otherwise, if you are not already tamed while sitting on that wait list, in all likelihood you will not be changed at this point and you should plan for your assignment has given.

So I'm I'm this slide is in reference to the email that was sent out yesterday and so again, we're trying to minimize the amount of students needing to move throughout the semester, and so ideally we can place you in a building based on your intentions today. So if you know you would want to stay on campus for brake housing, we would like to get you into one of those buildings that we have planned to remain open. These aren't the only five that we will use. These are the five that we've.
Traditionally used, but if there is a need, we will open more buildings up for brake housing so it doesn't guarantee you one of those buildings. It just gives us a sense of how many students we should plan for. From a staffing perspective. From a dining perspective as well as not having to have you moved twice, please know that what you indicate now you are not locked into that and really we will have a later time into this semester that we go back to this June thing. I need brake housing is that still true or those that?
Did not sign up. Do you think you now need it and you would be able to opt in? But in that case you might have to then move into a building we have open.
Yes, that email was sent to the students email their preferred email that was put on the housing application. That is how Hall all of our email correspondence is sent from our Department. If at anytime that email is no longer used, you can email us at housing at Colostate with your name and your student ID.
And have that email updated. Or you could always just choose your color state email that you set up as your preferred email. That's how you want to receive emails from our Department as well.
So really, this slide is just to show that things are going to be a little bit different and housing on campus this year. And if you were accepted into a residential learning community, that is great. If you were already given your assignment, in all likelihood, that is where you will remain. However, if you were accepted and don't have an assignment yet, it's no longer necessarily tide to a specific building and you may end up assigned in a building that traditionally doesn't house.
That specifically that specific, or else all of our partners recognize that there. Still you'll still be included if there's a class component, you're still be registered for those classes, but because most of the interaction among those learning communities in the buildings will be done virtually anyway, it's no longer as needed to be direct neighbors or assigned to a specific space or wing within a building to be a participant of that learning community.
Additionally, as we get questions about moving.
In the years past, Rosies would arrive a day earlier than everyone else.
This year moving is going to be spread out over night please for everyone so there will not be a specific move in for your or else you'll be yours through the same moving process. The way all students do.
We're getting some questions about.
We're getting some questions about what moving will look like.
We're hopeful that within another week or so around July 15th, that an additional email will be sent out.
Unmoving, I know that families are concerned about reserving a spot to move in, especially those families that have to travel in from bar out of state.
Please know that we're just we're going to adhere to social distancing on moving, and we're also going to limit each building. Getting 15 students on the hour throughout a given day so that the check in tables do not become overwhelmed or overcrowded.
And so if you were planning to arrive on a certain date in this case.
We're going to be doing it's August 17th through the 21st, so on Monday the 17th will be the earliest day that you can arrive. If that's a day you want to arrive, in all likelihood, that'll work. When the email goes out, you'll just see the reserve obal slots for the building that you've been assigned, and then you'll be able to select a time. The flexibility may need to come in that if you are really hoping to move in right at 8:00 AM. If that time slots already been filled, you might have to pick the 9:00 or 10:00 AM slot, but I don't think the date that you want to arrive will change.
And so if you really hoping to Germany for travel plans, it will be between the 17th and the 21st. We will start at 8:00 AM, go until 9:00 PM each day and soon again.

The day you want to arrive should should not change. It might just be the hour that you plan to move in.
Again, 15 students per building per hour.
And so we can get you moving in quickly or also reducing the amount of students that we ask. Or the amount of guests that you bring with you to help you move in.
An 2 two and so that also limits the amount of folks in and out of the buildings on those movement days.

Certainly so room sink is a the third party company that we use to help you match with an existing student assigned to the same building. So in order to participate in room sink you need to 1st receive your building or your community assignment. Once you receive that assignment, you then get an invite from room sink to find a match among other students. Also that have been assigned to that building.
And if you do not have an assignment, you will not get to participate in room sink an insult in some cases that applies to many of you based on the questions coming in room sink does close this Friday on July 10th, and so if you have not received an assignment, that's OK, you will not participate in room sink and we will match you with.
Roommates based on the questions that used admitted on the housing application. Our housing database does run through. It generates scores based on best compatible roommates, and then we match you accordingly.
If in the end you still do not like your roommate or feel that you're going to be compatible, while we will limit the amount of changes this fall semester, if it really is just not going to work, we still will be able to work with you through a room change. We do put a freeze for the first 2 weeks of the semester before we start doing those room changes, and so we ask that you.
Try your best. Make the best of it to get along with that roommate.
That is a little bit about how the roommate matching will work. So if you receive an assignment after July 10th.
Uh, really, you just need to.
Be patient with us and then on Monday, July 27th is when you'll be notified of who your roommate is in that building that you've now been assigned to.
Or some questions about if you've already received an assignment and you were to be changed, how would you be notified?
Again, our hope is not to have to move any student that's already received an assignment. The vacancies in those buildings that we have planned plans to keep open. We've left those vacancies open knowing that some students might have been assigned to building that now need to stay for extended housing.
And so we do not have to move anyone out of a building just because they don't need to stay. And it will be open.
If for some reason you were to be reassigned, you would receive a notification that day of a new community or building assignment.
Again, we don't want to break up any existing roommate matches that have already been created with in room sink, and so we are making every effort to not change anyones existing assignment and only move forward with new assignments at this point.
We have a question about what buildings are planned to be open as of now for extended housing and through winter break we will have Braiden Hall, Corbett Hall, Parmalee Hall, Laura Village, Alpine and Westfall. Haul those five buildings we know we will have open for extended housing and we may increase that.
Two more buildings. If you're joining us with an assignment in one of our apartment areas, please know that the apartments will not close at anytime and you may choose to stay in that assignment as long as your continued to be a student. And so there is no extended housing question going out to our apartments for those buildings will not close and they will operate as normal as possible for all of those students.

So if if you created a match with in room sink in, since you've decided that you will not be compatible as roommates, you can always break that match and still try to find someone else before Friday. If you've been assigned a roommate and you feel like you're not compatible, our whole staff and they do have guides that can help roommates talk through.
The things that tend to present challenges among roommates and try to come up with an agreement up front. The other thing that we always recommend in advises that sometimes the best roommate is one that is not necessarily your best friend, just someone that you can respect and get along with in your shared space, so that if you're not hanging out too much if you're not doing everything together, you're more likely not to kind of be annoyed with each other. And so as long as you're covering some of those basic questions of.
But it you know the visitors, are they going to be able to come in? What noise, sleep habits, even type of music where you wear earphones? Or listen to music? Loudly study habits. Just agreeing with some of those basic principles as roommates will really help you get along and be able to share that space together.
Ultimately, if things are still not working, we do we do and still have Hall staffing place that you can reach out to a resident assistant. They can help navigate some roommate conflict mediations.
Or ultimately, work with you to try to find a new location on campus. By that time you might have met, you might meet someone or a classmate that has an open space in their room and you can request a specific room to move to. Or you can just work with Hala staff to find any vacancies available and a building that you would prefer. And we can still work with you to find a new location on campus.

What dorms are you planning to use for the extended housing?
Items to bring with you. We do have a guide on our website that helps recommend what you may need. We are asking students to limit the amount of large items that they move in with this year, so bringing that futon or small couch that might fit in your room not bringing that this year, or at least for the fall semester two again speed up the moving process and not have too many folks in and out of the buildings on that same day. That would really help everyone out. You are still eligible to bring your own.
Micro fridge or microwave if you prefer. We also have a link on our website that you can rent those items and they would be placed in your room before you even arrive at something that you might not have to take up and down stairs or in elevators. It's there, it will have your name on it already put in your room and then when you move out the company comes back and picks it up for you. So that is an option.
They will also be information going out about how you can pre ship some items and what dates you can begin doing so and those items would also be able to be placed in your room so that when you arrive that box with your name on it is available for pick up or already placed in your room again to reduce the amount of time going in and out of the building when everyone is trying to move in on the same days.
Yes, and so really that would fall into this extended housing question and that we would assume if you're staying for extended housing that could then move into winter break. If however, you wanted to go home for those three weeks and just come back from winter break on December 18th, that will still be an option in the same way we've done in years past. It's another card option where you sign up for the specific days.
Up to the entire winter break that you would need to stay.
You would ideally already be in a building that we had planned to be open, but if you were not, we do move you into a single space for just that three week period or almost a month period that you would stay in someone elses or want to be someone elses room. It would just be in an overflow space in the buildings that we do have a open.
So you'll still be able to sign up information about that won't come out, and typically you'll need to let us know by about November 1st what your break plans are at that time, and there is an additional charge for winter break housing. It's not in your fall room and board.
There is limited dining during winter break. We only use some of our express locations and so that is something also you'll need to consider since our dining Hall will not be open at winter break.
I have a question about billing and how.
How billing will work for the fall? If you do indicate you plan to stay in extended housing that additional three weeks of room and board will be posted to your account up front so that you can better plan for this semester charges. If you opt in at a later date, please know that there will be an additional charge for room and board for that last three weeks of the semester.
So that is trying to prevent any sort of credit or refund so that you can plan from Day One when bills post here at the end of July.
Sure, that is a good question. An again part of the delay of assignments has been that we have designated a wing in Corbett hole.
And to be a wing that we can move students if they need to quarantine. If they test positive aura showing symptoms of Covid.
And so there is a whole quarantine assessment team that once we either know a student has tested positive or comes forward showing symptoms. The CSU Health Network case management as well as representative from housing will work with that student to get moved to one of these corentin spaces on campus.
Until they are no longer showing symptoms and do not test positive. So up to 14 days that student might be displaced into an isolated room. This wing is not connected to the building the way the other wings are, and so the safety of other Corbett residents is still maintained.
They'll be ways that we can get the dining meals delivered to this student space so that they can still down without having to leave their room. They'll be a regular check in with again folks across campus that have been designated to work with these students.
And so I know part of what the CSU Health Network is. Also then doing, you know the tracing of who could have been exposed and it could result in one positive test having multiple students being moved over to this corentin wing in Corbett Hall.
So definitely a plan in place, including someone that could even.
Transport the student in a University vehicle from their current space to where they would be placed in Corbett during that time.

And so I'm glad Theresa address the link a lot of questions about room sink. Again, if you've already received an assignment, you may participate in room sink and try to find a match of a roommate prior to this Friday, July 10th. If you do not have an assignment.
In all likelihood, you will not be able to match up with other students assigned to that building, and we will actually assign you to a compatible roommate based on the questions that you responded to on your housing application. So again, I I'm sorry if you are hopeful to live with someone and either they have an assignment and you don't, or they do, and vice versa if you're both not able to create that match via room sink, you will not necessarily be able to live together.
Especially if you're not in the same building and so room sink does close on Friday the 10th.
We are not able to extend room sink because they then compile the list of matches, submit it to us so that we can make final assignments with those matches that were created and push all assignments out on Monday, July 27th and so if you were not giving a given assignment you'll just get everything all at once. On that Monday the 27th of July.

Yeah, so transfer students if you opted to live in some of the transfer communities that we have around campus, you can match with other students via room sink that were also placed in road transfer communities. Otherwise you'll just receive in a a transfer roommate based on the questions you've answered and then the move in period for you will be the same as all other students when the email goes out again. We're hopeful mid July around the July 15th date. An email will go to all residential students.
Asking you to reserve a space on the move in day you would like to arrive between Monday, August 17th and Friday the 21st. They'll be time slots on the hour each day going as late as 9:00 PM for you to self selecting a time that you would like to move into that building assignment.
And that's where all students, whether you're a residential learning community participant, a transfer student or a brand new incoming freshman student as well.

I was just gonna say we're getting some costs about questions about costs and so will get that link and hopefully a link that works for you of our rates because the rates are updated online.
And there's two rates. One is the rate that will allow you to stay in your housing assignment up through November 21st. And then there's an additional rate for those last three weeks of classes. If you're planning to stay in that extended housing.
If you indicate you do not need extended housing, you'll see the first rate that gets you till November 21st, and then if you opt in that additional rate will be put onto your student statement at that time. Dining is also updated and those rates will work. Similarly, you pay for essentially fall semester until November 21st and then that extended housing rate for dining as well. If you plan to stay.

Yeah, so uh, there are groups that do get early arrival dates and all of that communication will come from the group that you're associated with. So if that is banned they will work with our office on what date they would like you to arrive back and then we will communicate how that looks.
Um, with your director or who's in charge of the group that you're coming back early. For our student athletes are fall athletes. They will have early move in dates. We will work with their director of operations to OK. This team needs a ride back On this date and then the logistics will be communicated back to you through them. So at this time just please reach out to who's in charge of your group and they'll give you a better idea of when you can arrive.
Track as an early arrival. In some cases there's an early arrival feed to the student. Other cases the group pays that early arrival fee to our Department, and that's where the logistics can be communicated through the director of that program.

You know, will you be moved out of that assignment?
Again, we are trying very hard not to have to do that to anyone. We created enough vacancies by students that have already cancelled in the buildings that we know will be open to try to minimize the need to have to move anyone.
So while I cannot guarantee that you would not be moved out again, um, it really just depends on how many students are indicating they need extended housing, and we would most likely open up a 6th building needing to be open before we move students out.
Especially if you've created that roommate match, we don't want to break up that match. We don't want to break up, you know all your planning that in some cases you've known since April where you've been assigned to what building we recognize that Corbett and Parmalee or two of our high prioritized halls, so we've already been assigned to that building, and you don't need a break housing. I don't want you to be concerned about moving out. That is not our plan. We did create other vacancies in those buildings to prioritize those that do now need brake housing.
To not have to move anyone out, so I know there is concerned about that. But again, all of the efforts we've done in the delaying of the assignments is to make sure that we're not having to move students out that have already been assigned.

No, I think that is it. You know, we really are operating with the knowledge and information that we have today. I can say that when we had to shut down our halls this past March that we did issue refunds as of that date that students had to had to vacate.
And so I think that's how we would have to operate once again, but we just don't know and not knowing when that might be if it were to be. And so I think there's just too many unknowns at at this time I think the University announcing that classes go online for the last three weeks was part of that effort.
That if we can get to there we we can reduce the unknown and not have to issue those refunds and have families make those informed decisions today. But again, while we've been fortunate here in Fort Collins and the amount of cases are in their community, and as slowly operations have kind of opened up in the community, that allowed us to see how it may be. But you know, when all of our students are back, we don't know what that can also bring as well.
I think we can only speak to what just happened this past spring and and with each given week how much changes in new information that comes out so.
Yeah, just you know what some questions about what the communities will look like. Uhm, certainly we will reduce the amount of gatherings for folks to come together, including students at live in the same buildings. So lounge spaces might not have as much furniture or spaces were coming up with a reservation program for study rooms. Community kitchens will still be operational, but.
It may be something that you have to reserve time to use that kitchen to limit the amount of students in and out. All cleaning efforts have been increased by our own staff as well as cleaning kits will be in students rooms and in community locations so that students can clean prior and after use of those spaces. Knowing that our staff will still be coming through on an increase schedule.
They'll be hand sanitizer stations at every entrance, every stairwell, every elevator shaft for students to use. Plenty of that, and they'll be signage for any place that there might be gatherings to again adhere to social distancing, trying to keep that six feet space between you and others wearing mass will be required in public spaces to and from classes. Obviously not in your own immediate room.

There will be an expectation of wearing mass and so please come prepared for that. So while We want there to be community, we recognize that we can't bring an entire building together that includes over move. In weekend we will not have those large scale family gatherings dinners together.
And so, uh, as the orientation schedule comes out, there will be more direction as to what that will look like. Final questions about moving again, those reservation slots should be sent out around July 15th, so please keep an eye out if you've already made travel plans, don't change those travel plans. It will most likely work. It just may the exact hour have to be flexible as to when you wanted to be on campus and so were given.

Ample opportunity to sign up throughout the day so that if you really wanted to come on Thursday the 20th, you would still be able to come that day. It just might not be first thing in the morning, um, and so you can plan around what reservation time slots are still available.
So I'm sorry I I. I feel like there was a lot of audio concerns and I apologize for that. That's something that I will address on my end. Please know that we have virtual orientation. Still all summer put on by housing and so you can pop back in and then our office phones. Right now the plan is to begin having phone hours available next week out of the office and so that's good news because I recognize many of you don't want to only operate via email.
And I totally understand that. So you will be able to call our office during designated times and that will be put up on our website so that you can actually talk to someone when you want to talk to someone starting Monday, July 13th, not eight to five. The way we traditionally have been, they'll be designated hours that you can call in and get ahold of someone. So that does start next week.
Again, we're just really excited to see students back. We all get into this to have community to have students on campus, and so we're grateful that you are still coming to us and we are.
All kind of working through this together and so we look forward to seeing you in August and or out of future orientation. So thank you.
